Position Description

Background information:

UNICC requires an experienced Accounting Assistant to contribute to finance activities related to accounts payable such as processing supplier invoices for payment, responding to supplier queries related to payment of supplier invoices; assisting in activities related to asset management; imprest accounting; financial reporting; external audit and other finance related activities.

Main duties and responsibilities:

The incumbent will work under the direct supervision and guidance of the Chief, Finance and Accounting Section (MSF) within the Management and Strategy Division (MS) and in close collaboration with the Finance team. The incumbent will assist the Finance Team in its day-to-day operations during the testing, training and migration to the new ERP system of its Host Organization which is scheduled to be live in Q2 2024 and support MSF in delivering specific activities in this context.

Accounts Payable Activities

  • Examine and process incoming bills for the supply of goods, equipment, software and services; check the accuracy and completeness of supporting documents; verify billed amounts against contracts, purchase orders and other supporting documents; prepare relevant payment vouchers
  • Maintain electronic files for suppliers’ bills and supporting documents
  • Reply to suppliers’ queries related to the payment of suppliers bills
  • Provide advice and support to relevant staff on finance systems and processes, respond to their queries, monitor their activities to ensure compliance with UNICC financial policies and procedures

Imprest Accounting

  • Assist in the processing of Imprest payments and vouchers in the ERP system
  • Assist in the review corporate credit card monthly statements and enter them in the ERP system

Asset Management

  • Assist in activities related to asset management such as upload of capital asset in the Host Organization’s ERP system
  • Assist in the review of End-of-Life Assets with the UNICC Property Survey Committee; disposal of UNICC assets and other related activities

Financial Reporting

  • Under guidance, review monthly finance reports and do the necessary action for adjustment (if needed)
  • Assist in preparing monthly Profit and Loss (P&L) report, annual financial report, annual closure of accounts and external audit

Recruitment Profile

Experience and Skills required:

Essential:

  • At least five (5) years relevant experience in accounting or finance
  • Good computer skills. Proficient in Microsoft Office (Excel, Word, Access and Outlook)
  • Good interpersonal skills with people of different national and cultural backgrounds
  • Good knowledge of financial rules and regulations of International Organizations
  • Working knowledge of ERP Systems such as Oracle or Microsoft Dynamics

Desirable:

  • Previous experience in an International Organization
  • Knowledge of financial rules and regulations of International Organizations

Education*:

Essential:

  • Completion of secondary commercial school with background in accounting, finance, procurement or related field

Desirable:

  • Training in International Public Sector Accounting Standards (IPSAS)
  • Finance training certification such as those issued by Chartered
  • Institute of Public Finance and Accountancy (CIPFA)

Languages:

  • English: Expert knowledge is required

Other Information

Compensation:

Fee will be based either on the National Officer salary scales or the Individual Consultancy band levels (for Headquarters)
