UNICC Privacy Notice for Applicants
This Privacy Notice describes how UNICC handles your personal data.
Purpose(s) for collecting personal data
UNICC processes your personal data to for the following purposes:
- Manage your application;
- Verify the information you have provided, if your profile has been selected;
- Determine your eligibility for future relevant vacancies and contact you in relation to any such vacancy, if your profile has not been retained for the position you have applied for.
Lawful basis for processing personal data
The processing of personal data is necessary for the performance of UNICC’s mandate or its functions, in particular on the basis of the Staff regulations and rules, and other administrative issuances adopted by UNICC and the United Nations.
What information is processed
UNICC processes the following personal data during applicant selection phase:
- Identification data – Personal data allowing to uniquely identify the applicant such as title, name, gender, date and place of birth, nationality, marital status.
- Contact data – Information provided by the applicant to be contacted and to allow the performance of tests and interviews, such as location, telephone number and email address, results of written and oral tests.
- Education data – Information regarding educational path, such as institution name and country, period of attendance and graduation date, courses and certificates, contacts of references.
- Employment data – Information regarding job experience, such as total of years of work, previous employment, current annual income, skills and experience details.
- Application data – Position related information, such as applicant motivation letter, position number and title, assignment details, duty station of destination.
Who has access to personal data
UNICC authorized personnel will have access to your personal data to the extent required to process your application and fill open positions.
HireVue (Utah) and its subcontractors may access your personal data under the instructions by UNICC to provide services of Modern Hire interview, prevent or address service or technical problems (HireVue Privacy Notice).
WHO (“World Health Organization”) and its subcontractors may access your personal data if your profile has been retained.
How personal data are protected
UNICC implements a range of security measures to protect personal data retained in our systems from unauthorized access and disclosure, alteration, or destruction. Your data will be kept with utmost care and security and will not be used in ways other than as set forth in this Privacy Notice.
For how long personal data are retained
For applicants not selected for the position they applied for, UNICC will retain their personal data for 24 months, after which it will be deleted. For applicants who accept an employment or consultancy contract, their personal data will be retained for 5 years.
Rights you can exercise on your personal data
You have the right to exercise the following rights at any time in relation to the processing of your personal data within the purposes of this Privacy Notice:
- Right to be informed – you may request to receive information regarding your personal data UNICC is processing.
- Right to access – you may request access to your personal data you provided to UNICC.
- Right to rectification – you may request to modify any inaccurate or incomplete personal data (within the limits set out by the application process).
- Right to deletion – you may request the deletion of your profile and personal data before the retention period has expired (by doing so you will opt-out from any communication regarding further open positions you may suit to).
- Right to restrict the processing of your personal data – you may request the temporary restriction of the use of your personal data for communications while your request for rectification is being processed.
