Purpose of the Position:

The purpose of the position is to provide high-quality administrative support services to the Director’s Office, to ensure that routine services and activities within the administrative domain are properly implemented.

Objectives of the Programme:

The objective of the Centre is to provide trusted ICT services and digital business solutions to its Clients and Partner Organizations.

Main duties and responsibilities:

The incumbent will work under the direct supervision and guidance of the Executive Assistant to the Director and in close collaboration with the teams within the division. The incumbent could be requested to do any other tasks of similar level in related fields.

Within delegated authority, the incumbent will perform the following duties and responsibilities:

  • For the Director’s Office
    • Assist the Executive Assistant in maximizing the effective use of the Director’s time, ensuring adequate preparation for and follow-up of meetings.
    • Draft and review documents and other materials, potentially of a confidential nature.
    • Interact with contacts internally and in other organizations, as well as with vendors, Governments, Permanent Missions, etc.
    • Provide back-up support to the Executive Assistant.
  • For the DO Division: act as the focal point for the Division for administrative processes and their correct implementation across all teams.
  • For Duty Travels: organize duty travels for Geneva-based personnel in line with existing policies and collaborate with peers in other duty stations.
  • For Office Management: screen and monitor correspondence and phone calls, answer routine questions, and provide back-up support to the local administrative assistant.

Recruitment Profile

Experience and Skills required:

Essential:

  • A minimum of three (3) years of administrative experience, including direct work experience providing administrative/secretarial support to senior management in an international setting. A completed university degree from an accredited institution will be counted toward the minimum work experience requirements. i.e., in the form of one year of completed education being equivalent to one year of relevant work experience (for fully completed degrees only).
  • Excellent knowledge and experience in drafting and editing of official correspondence
  • Experience in the usage of computers and office software packages (MS Word, Excel, PowerPoint etc.)
  • Ability to work in a deadline-oriented and high-pressured environment
  • Proven record of demonstrating initiative and good organizational skills

Desirable:

  • Understanding of basic financial concepts

Education:

Essential:

  • Completion of secondary school diploma

Languages:

  • English: Expert knowledge is required
  • Other language: French, working knowledge is desirable

Other Information

Eligibility:

This position is subject to local recruitment pursuant to staff rule 4.4 of the United Nations Staff Rules. All staff in the General Service and related categories shall be recruited in the country or within commuting distance of each office, irrespective of their nationality and of the length of time they may have been in the country. A staff member subject to local recruitment shall not be eligible for the allowances or benefits exclusively applicable to international recruitment.

Compensation:

Annual Salary Estimation (net of tax at single rate):

  • Geneva, Switzerland: CHF 70,872
